Payroll, capital and the month-end close

Switching the tools on

Open Modules. Payroll, Capital and Month-end close each have their own switch there, and on its Back-office money tab, and stay off, and out of the menu, until you turn them on. Payroll is then a tab of Pay under Team; Capital and the Month-end close are under Reports & money.

Payroll

Only those who may see pay open Payroll. First set your payroll settings: how often you pay, and the deductions taken from gross pay with their rates. The page starts from your country's usual lines; check the rates with your accountant. BookNDish works out the figures but does not file payroll taxes.

Start a pay run for a period. Each person's line is built from the time clock at their pay rate, with overtime, and from the tips shared to them in tip pools in that period. Gross less your deductions, less wages drawn early and tips already handed over in cash, is what you still owe. People with hours but no pay rate are flagged: set their rate in Staff pay, then recalculate.

Approve the run when it is right. Its figures are then frozen, and each person can download their pay statement from My pay. Where the law requires certified payroll software or an accredited provider, the page is called Payroll preparation and the PDF is a pay statement, not a legal payslip: hand the figures to your provider. If a payroll partner is set up, you can send the approved run to them. Then mark it paid.

Early wage access

In the payroll settings you can let your team draw part of what they have earned before payday, through the platform's earned wage access partner. Choose the most they may draw, as a share of their earned pay after deductions (at most half).

Each person sees on My pay what they have earned since the last pay run and how much they can draw now. The partner pays them; the amount comes off their next pay run. If the partner refuses, nothing is deducted.

Capital

Only the owner sees Capital. When our payments partner offers financing, the offer shows here: the amount, the flat fee, the total to repay and the share of each card sale withheld until it is repaid. Review and accept takes you to the lender's own page; BookNDish does not lend and does not decide. Once paid out, the page shows what is repaid and what is left, as the lender reports it.

Month-end close

Pick a month. The checklist shows what needs a look: till variances, supplier invoices not yet matched, refunds, tips still owed to the team, house-account balances, fiscal closures and the payroll run. Open each one to fix it, or mark it reviewed with a note for your accountant.

Beside it are the tax summary for your country, with whether your prices include tax, and food cost: what left your shelves at cost, against net sales and the budget you set for the month.

When every item is reviewed, close the month. The figures are kept as they stood, even if something changes later; you can reopen it.

Download the pack to give your accountant every export for the month in one ZIP. To give them their own login, add the Accountant role: it reads the reports and downloads the exports, and changes nothing. Then invite them from the team page.
